Who is responsible for your data

This website, thecxevolutionist.ai, is operated by Katja Forbes, trading as The CX Evolutionist, based in Australia. For anything in this policy, you can get in touch via the contact form.

What is collected, and why

Enquiries. When you submit the contact form, the details you provide (name, organisation, email address, enquiry type, indicative budget, timeframe and your message) are emailed to Katja and stored in her email and customer relationship system. They are used solely to respond to your enquiry and manage any engagement that follows.

Newsletter. If you subscribe to the newsletter, your email address and any details you provide are stored with HubSpot and with Substack, the platform used to publish and deliver the newsletter. Every email includes an unsubscribe link, and unsubscribing takes effect immediately.

Analytics. This site uses HubSpot analytics to understand how visitors find and use it: which pages are viewed, where visitors arrive from, and general location and device information. HubSpot sets cookies for this purpose (including hubspotutk, __hstc, __hssc and __hssrc). If you are visiting from the EU, UK, Norway, Iceland, Liechtenstein or Switzerland, these cookies are only set if you opt in via the consent banner, and you can decline without affecting your use of the site.

Server logs. The site's hosting provider, DreamHost, keeps standard server logs (IP address, pages requested, timestamps) for security and operational purposes.

What is not done with your data

Your data is never sold, rented or shared with third parties for their own marketing. There is no advertising on this site and no advertising cookies.

Who processes data on this site's behalf

Four service providers process data to run this site: HubSpot (newsletter sign-ups, enquiry records and analytics), Substack (newsletter publishing and delivery), DreamHost (website hosting and form delivery), and Google Workspace (email). Each stores data on servers that may be located outside your country, including in the United States, under their own security and data-processing safeguards.

How long data is kept

Enquiry records are kept for as long as needed to handle the enquiry and any resulting engagement. Newsletter data is kept until you unsubscribe. Analytics cookies expire on HubSpot's standard schedule (up to 6 months for session cookies and 6 months for the visitor identification cookie).

Your rights

You can ask at any time to see the personal data held about you, have it corrected, or have it deleted. If you are in the EU or UK, you also have the right to object to processing, request portability, withdraw consent, and complain to your local supervisory authority. In Australia, you may complain to the Office of the Australian Information Commissioner (OAIC). To exercise any of these rights, use the contact form and you will receive a response within a reasonable period.
